The account owner decides which company or vessel each user can access, what information they can see and whether they are allowed to view, add or modify it. Permissions can be changed at any time, while access can be granted, restricted or revoked whenever required.
This means a captain, accountant, manager or external partner can have exactly the access they need to do their job — and nothing more.

Direct eCP
The introduction of the electronic charter agreement has added new administrative processes to the everyday operation of yachting companies.
Direct eCP automates the creation, submission, tracking and management of e-CharterParties directly through DataNav Essentials.
One or multiple charter agreements can be submitted with a single click, without requiring users to repeatedly go through the process on the gov.gr platform.
At the same time, it solves an important operational and security issue: companies no longer need to share their corporate TaxisNet credentials with employees or external partners responsible for handling the process.
AI makes preparation significantly faster as well.
Crew lists can be created directly from photos of IDs and passports, reducing repetitive data entry and the risk of human error.
Charter information can also be imported in bulk from data that already exists — including Excel files, Ministry JSON files, exports from other systems and other available documents. AI identifies and structures the information without requiring users to prepare their data using a specific import template.
And the process does not end with submission.
Approvals, dates, updates and related documents remain available in one central environment, giving users a clear overview of their vessels and charter agreements.
Required documents can also be downloaded in bulk across multiple charters, including grouping by port or Port Authority.

Finance
Charter income, fixed costs, operational expenses, incidents, purchases and everyday spending.
Finance brings the financial activity of each vessel into one central environment, giving owners and management companies a clear view of revenue, costs and expense categories.
Day-to-day operational spending can also be managed through the vessel’s General Expenses Card.
And expenses can be recorded when they actually happen.
A captain or any authorised user can simply take a photo of a receipt or invoice and upload it. AI extracts the relevant information, creates the expense entry and helps categorise it automatically.
Instead of collecting receipts, photos, emails and spreadsheets and processing them later, financial information can be captured directly at its source.
At the same time, the account owner can assign different levels of access to everyone involved.
A captain, for example, can record everyday vessel expenses without necessarily having access to the vessel’s complete financial information. An accountant can access and manage the data required for their work, while the management company and owner maintain the overall view.
DataNav Essentials also supports multiple vessels and multiple companies within the same account, with information and access permissions managed separately for each one.

APA Management
APA management presents a unique operational challenge: expenses happen throughout the charter, wherever the yacht happens to be.
The best time to capture that information is when the expense actually occurs.
With APA Management, each APA is linked directly to its charter. Management starts with the initial card funding and continues with the detailed recording and categorisation of every expense.
The captain or any other user who has been granted the appropriate access can simply photograph a receipt or invoice and upload it directly to the relevant charter’s APA.
AI extracts the information and helps automatically create and categorise the expense.
Instead of collecting receipts throughout the trip and trying to reconstruct the financial picture afterwards, information is captured where and when it is created.
Everyone involved can have immediate access to current APA information, based on their individual permissions, working from the same up-to-date data rather than exchanging receipts, photos, spreadsheets and messages.
And the value of that data continues after the charter is completed.
Detailed APA reporting creates a valuable historical view of actual charter costs and expense categories, providing better information for budgeting, comparisons and planning for future seasons.
